Duties and Responsibilities

  • Coordinate and manage all administrative procedures and systems;
  • Plan, administer and control budgets for Quanyou’s office equipment and supplies;
  • Manage administrative documents including contracts, schedules, and deadlines;
  • Prepare calendar and meetings, and ensure appropriate distribution of meeting materials;
  • Co-ordinate and schedule activities within Quanyou;
  • Maintain necessary documentation for internal and external audits as well as response to audits;
  • Manage policy and procedural reviews within Quanyou, and report to the senior management;
  • Create monthly reports and statements and prepare presentations, reports and documents as needed;
  • Evaluate staff performance and operation of the administrative department;
  • Participate in hiring and training of new personnel as well as allocate responsibilities and office space, and follow the policy of Quanyou in communicating to appropriate departments.

Requirements and skills

  • A bachelor’s degree is required;
  • 5 years + of experience as an administrative assistant or above is required;
  • Minimum 2 years of management experience is required;
  • Excellent interpersonal skills;
  • Ability to handle confidential matters, set priorities, and work well under pressure;
  • Strategic thinker;
  • Well organized and attention to detail;
  • Strong planning and execution skills.
